Veterinary Client Care Receptionist

Job Overview
The Veterinary Client Care Team at Station House Vets is a very busy role requiring strong admin experience, fabulous friendly communication skills and the ability to manage multiple demands.

The Client Care Team are there to ensure exceptional client service, accurate scheduling, and seamless communication between pet owners and clinical staff. This role combines hands-on receptionist duties with much wider responsibilities.

The whole team has a can do / will do attitude and thrives on being busy!

What are we looking for?

Not just a pet or horse lover, you must have hands on experience and knowledge of both and understand how important they are to our clients, as members of their family.

Getting the right person for the team is more important than working hours at this stage, so whether you’re looking for full time or part time hours, drop us a covering letter and a CV and tell us how you think you’d fit right in, with full details of your previous experience and ability!

Responsibilities

  • Greeting clients and visitors in a friendly and professional manner
  • Managing appointment scheduling and cancellations using practice management software
  • Answering phone calls with excellent phone etiquette and directing enquiries appropriately with professionalism and empathy
  • Maintaining accurate patient records through data entry and updating client information
  • Managing incoming and outgoing communications via various digital methods
  • Processing billing and payments
  • Order and manage inventory of medical supplies
  • Assisting with general clerical duties to support the veterinary team
  • Collaborate with vets and nurses to optimise workflow throughout the day
  • Implement and refine front-desk procedures for efficiency
  • Follow existing protocols and devise improvements
  • Be flexible to ensure full reception schedule coverage

Experience

  • Proven office experience, ideally within a veterinary, medical or healthcare setting in a very busy diverse role
  • Strong proficiency in computer skills including Microsoft Office (Word, Excel, Outlook) and use of other digital platforms
  • Strong organisational and leadership skills with the ability to multitask effectively in a busy environment while remaining calm under pressure
  • Excellent communication and customer service experience
  • Desire to succeed as a team
  • Can do / will do attitude
